Study Visits

A foreign study visit under the Jagiellonian University PhD Teaching Programme (JUP) entails travelling to a foreign host institution, specifically an academic centre ranked in the QS World University Rankings. This visit is conducted in collaboration with an academic supervisor at the host institution, appointed by the participant, who oversees the academic organisation of the visit.

The purpose of these visits is for doctoral students, in cooperation with the academic supervisor, to enhance their competencies in the following areas:

  • Teaching Skills: Including modern teaching methods and pedagogy.
  • Digital Competencies: Strengthening proficiency in digital tools and platforms.
  • Actions for green transformation: Supporting and engaging in sustainable development activities.

The objectives of the foreign study visit can be achieved by:

  • Learning about systemic solutions adopted by the host university.
  • Exchanging experiences.
  • Establishing international collaborations in the aforementioned areas.
  • Integrating groups engaged in improving education quality, aiming to build a learning community.
  • Participating in additional activities suggested by the academic supervisor, such as workshops or summer schools, provided they align with the above areas.
[Organisational Information]

Funding Covers:

  • Travel costs (air, bus, or train tickets only).
  • Travel allowances.
  • Daily allowances.
  • Accommodation allowances.

Excluded from Funding:

  • Visa expenses and other miscellaneous costs.

Since 1 July 2023, participants are required to arrange and purchase their travel tickets (air, train, or bus) independently through any carrier. Tickets should only be purchased after the travel application has been approved. This does not apply to doctoral students from the Doctoral School of Medical and Health Sciences.

When planning a foreign study visit, ensure that the visit does not overlap with public holidays or statutory non-working days in the host country, as these days are not eligible for funding and will be considered non-reimbursable.

[Recruitment]

Details regarding the recruitment process will be made available prior to the commencement of applications. Applications will be processed via the ZintegrUJ Recruitment Portal, accessible under the "Recruitments" tab.

[Duration of the Visit]

The visit to the host institution must last a minimum of 4 days and a maximum of 7 days, including travel days.

[Guidelines for Study Visits]

After being selected for a foreign study visit, the participant must submit the following document to the Project Office at least 30 days before departure:

  • Declaration of Participation in the Foreign Study Visit (Appendix No. 2 to the Recruitment and Participation Regulations for Study Visits).

Upon submitting the documentation to the Project Office, participants must file a travel application.

  • As per Regulation No. 33 of the Rector of the Jagiellonian University dated 1 April 2020, doctoral students enrolled in doctoral schools must submit their travel application exclusively via the UJ Information Portal (PI UJ) at pi.uj.edu.pl.
  • Doctoral students from the Doctoral School of Medical and Health Sciences must submit their travel applications in paper form.

Early Submission Encouraged:
Participants are encouraged to submit documents as early as possible (e.g., 1–2 months before the planned departure) to facilitate booking tickets at favourable rates.

Post-Visit Requirements:
Within 14 days of the visit, participants must settle their travel expenses with the Centre for International Cooperation JU (CIC JU) via the PI UJ system, attaching scans of the following documents:

  1. Hotel invoice.
  2. Travel tickets (air, train, bus) along with boarding passes.
  3. Report on the participation in the foreign study visit (Appendix No. 4 to the Recruitment and Participation Regulations for Study Visits).
  4. Original confirmation of the study visit signed by an authorised representative of the host institution.

Original documents must be submitted to the Sekcja ZintegrUJ within 21 days of return.

[Recruitment Deadlines]

Recruitment is ongoing and competitive (participants must score at least 40 out of 100 points to qualify and meet the formal requirements). It is open to individuals who have completed two training courses under the JUP Programme.
